Who we are

Copia Cleaning Ltd is the data controller for the personal data described in this policy. We are a local cleaning business based in Wakefield, West Yorkshire. If you have any questions about your data, contact us at hello@copia.cleaning.

The information we collect

• Enquiry & quote details — your name, phone number, email address, postcode and any message you send us through our forms.
• Booking & payment details — the service and address for your clean. Card and Direct Debit payments are handled securely by our payment providers (Stripe and GoCardless); we do not store your full card or bank details on our systems.
• Recruitment details — if you apply to clean with us, the information on your application, including your CV and whether you hold a DBS check or drive.
• Usage & device data — cookies and similar technologies (only with your consent). See our cookie policy.

How we use it, and our lawful basis

• To respond to your enquiry, provide quotes and deliver your cleaning service — to perform our contract with you (and take steps at your request before entering into one).
• To take payment and keep records — to perform our contract and to meet our legal obligations.
• To measure and improve our advertising and website — with your consent (given through the cookie banner).
• To consider your job application and run our recruitment — on the basis of our legitimate interests in hiring, and your consent where required.

Who we share it with

We share your data only where necessary: with the local Copia Cleaning cleaner or franchisee who will carry out your clean; with our payment providers (Stripe and GoCardless); with Google for analytics and advertising measurement (only where you have consented); and with the email and hosting providers that run our service. We never sell your data.

International transfers

Some of our providers (for example Google) may process data outside the UK. Where they do, that transfer is protected by appropriate safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.

How long we keep it

We keep enquiry and customer data for as long as needed to provide our service and to meet our legal and accounting obligations, and no longer than necessary. Recruitment data for unsuccessful applicants is deleted within a reasonable period unless you ask us to keep it on file.

Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to our use of your personal data, to data portability, and to withdraw consent at any time. To exercise any of these, email us at hello@copia.cleaning. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We may update this policy from time to time. The date at the top shows when it was last revised.
